The following steps apply to undergraduate students and students doing taught master’s programmes:
Step 1: Initial Inquiry
- Contact the International Office: Reach out via email, telephone, or visit the office directly to express your interest in the exchange programme.
Information Session: The International Office will provide detailed information about outbound exchange opportunities, including eligibility criteria, available placements, and host institutions.
Step 2: Verify Eligibility and Preferences
- Eligibility Check: Confirm your eligibility for the exchange programme with the International Office.
- Preferred Destination: Discuss your preferred country and host institution.
- Timing: Determine when you wish to go on exchange and check the availability of placements at your preferred host institutions.
Step 3: Provisional Application
- Provisional Form: If the proposed exchange is feasible, complete the Provisional Outgoing Exchange Student Form.
- Course Research: Research and identify matching courses at the host institution that correspond with your UWI courses.
Step 4: Complete Application
- Download Application Form: Download the Outgoing Exchange Application Form from the International Office website.
- Gather Documents: Collect course outlines/descriptions from the host institution.
Step 5: Faculty Approval
- Submit for Approval: Submit the completed application form along with course outlines to your Faculty for approval.
- Department and Faculty Sign-Off: Obtain signatures from your Head of Department (HOD) and Dean (or their nominee), and ensure your GPA is added to the form.
Step 6: Finalize and Submit
- Submit to International Office: Return the signed and stamped application form to the International Office.
- Transcript Request: The International Office will request your transcript from the Examination Section and send it along with your application to the host university.
Step 7: Await Host University Decision
- Host University Approval: The host university will review your application. Some universities may have a specialized nomination process which the International Office will handle.
- Decision Notification: Once a decision is made, the International Office will inform you of the outcome.
Step 8: Pre-Departure Preparation
- Acceptance Confirmation: If accepted, you will receive an acceptance letter from the host university.
- Pre-Departure Guidelines: The International Office will send you pre-departure guidelines and/or host a Pre-Deprture Session to assist you in preparing for your exchange.
- Visa Application: Apply for a student visa if necessary.
Important Reminders:
- Academic Approval: Request academic approval on SAS before leaving Jamaica.
- Transcript Request: Request your transcript before leaving the host university.
