1.Verification of Training during and post-completion of the Undergraduate MB.BS 

Verification of training (inclusive of courses and clerkship rotations) is done for students enrolled in the MB.BS programmes as well as those who completed the programme, as may be required for local and international verifications (such as ECFMG, and FCVS). The verification ranges from general verification requests to more complex documentation. 

Verifications are done on prescribed forms and by way of requests submitted to the Undergraduate Office through its email account fmsundergrad@uwimona.edu.jm.

Process for Completing Verifications

Request for verification letters/completion of forms are made through the Undergraduate email, and processing will only be done once payment has been received. 

Payments for verification of documents must be made via bank transfer (submitted upon request).  Contact should be made with the Undergraduate Section regarding the request and the payment process. Processing of the verification documentation will begin once the receipt is submitted to the Undergraduate Section of the Dean’s Office. 

The following should also be taken into consideration when making requests for verifications:
Except for the MSPE which requires two weeks for completion, all other verification forms are processed within 5 working days.
If you have made applications for verification to local and international agencies, such as ECFMG and FCVS, it is your responsibility to keep in contact with the Dean’s Office to ascertain when documents are submitted to us as well as to be guided by the requirements for processing the requests.
Applicants are responsible for paying courier charges, where applicable.  The courier charges must be calculated at the existing rate at the time of payment, based on fees charged by DHL (or a courier service of your choice).

For persons requesting transcripts, the following should be noted:

Transcripts are prepared exclusively by the Examinations Section of the Registry on the Mona Campus. Persons may apply for transcripts using either of the following options:
Online via The UWI Electronic Services (E-services) at https://eservices.mona.uwi.edu/payment/  through which the requests for Transcripts and payments are made.
Direct request at the Examinations Section and payment made at the Bursary Cashier.

If the Dean’s Office is responsible for submitting transcripts to any verification agency, applicants must request, during the application process, that the transcript be sent to the Dean’s Office, Faculty of Medical Sciences, taking into consideration the process required for completing verification.

 

2. Request for Emergency Leave of Absence

The Faculty is mindful that from time to time students may have emergencies that do not require students to be away from their studies for extended periods, thereby enabling them to continue with their studies within any given semester.  In such instances, students can be granted limited emergency leave from the programme, for short periods not exceeding one week in any one semester/clerkship rotation.  Students should make the necessary request on the Request for Emergency Leave Leave of Absence Form for approval by the relevant officers in the Department and the Dean’s Office.

 

3. Elective Registration

An elective is a period that allows medical students to independently explore any particular area of medicine that interests them. It is done in the 4th and 5th year.

4. Application for Transfer

Students enrolled in the MB.BS programme has the option of transferring from the Mona campus to the other campuses (Barbados and Trinidad and Tobago) and the Bahamas site, after completion of Stage I of the Programme.  Students requesting transfer must complete the relevant Application for Transfer form for processing.

5. Application for Internship

Upon completion of the MB.BS programme each graduate must complete a one-year internship at an approved hospital to be fully certified as a medical doctor.  Final year MB.BS students scheduled to sit the exit examinations are required to apply to a hospital of choice to pursue the required internship. >

Application forms must be submitted, in duplicate, to the Dean’s Office, Undergraduate Section, 5th Floor, Faculty of Medical Sciences Teaching and Research Complex. Application forms must be submitted by the specified deadlines – January 31 (for sitting of the May/June Final MB.BS Examinations) - and September 30 (for the sitting of the November/December MB.BS Final Examinations). 

The Dean’s Office will submit only one application form per student to the hospital of your choice. 
Students at Mona may apply to do their internship in the Bahamas, Barbados, Trinidad, and Jamaica.  However, the Dean’s Office will only process applications for internships in Jamaica.  All other applications must be submitted directly to the respective campus/site and such applications are directly managed by the students.

Persons interested in pursuing an Internship outside of Mona should make direct contact with the relevant Caribbean territories for guidance.
