Main Purpose of Job:
The main purpose of this position is to provide administrative support, ensuring efficient operations and effective communication, to facilitate the FRC in achieving its vision of exceeding the expectations of all stakeholders.
Duties and Responsibilities:
- Assisting with the service of meetings by arranging venues, preparing agendas, taking notes, and assisting with follow-up actions
- Preparing standard documents such as letters, memos, meeting summaries, and simple reports under direction
- Liaising with internal and external contacts under the direction of the Director
- Monitoring and processing incoming and outgoing mail to support timely distribution.
- Reproducing, collating, and circulating documents and materials
- Maintaining filing systems for confidential and general records, ensuring accessibility and security
- Monitoring office supplies and assisting with inventory tracking
- Assisting with the preparation and processing of payment and reimbursement in coordination with the Bursary
- Supporting petty cash processes by preparing claims and maintaining records
- Preparing requisitions for goods and services and monitoring the distribution of supplies
- Assisting with the compilation of supporting documents for grant applications and financial reports
- Assisting with the logistical arrangements for workshops, seminars, and short-term training programmes, including booking venues and confirming logistics
- Circulating fliers and event materials and coordinating refreshments or materials as directed
- Preparing travel itinerary, managing accommodation and ground transportation
- Assisting with updating the Centre’s website and social media platforms using approved content
- Collaborating with MARCOMM to support the preparation, formatting, or circulation of approved promotional materials
- Retrieving and compiling documents required for internal reviews, audits, grant reporting, or institutional compliance
- Assisting with maintaining accurate administrative records in support of research ethics, grant conditions and University policies
Qualifications and Experience:
- A minimum of 5 CXC/O’Level subjects, including English Language and a numeric subject
- At least 3 years relevant working experience
- A Bachelor’s degree in a related discipline would be an asset
Skills and Competencies:
- Strong knowledge of standard office administrative procedures and practices
- Excellent verbal and written communication skills
- Outstanding organizational and time management skills
- High level of emotional intelligence and strong interpersonal skills
- A good listener with the ability to follow instructions accurately
- Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint
