ADMINISTRATIVE OFFICER III
Discovery Bay Marine Laboratory (DBML) – Department of Life Sciences

Specific duties, include, but not limited to the following:
 Supervise the duties of maintenance, administrative, housekeeping and kitchen staff.
 Planning and coordination of all social events and workshops hosted by the Lab.
 Interface with local government authorities in maintaining permits & licences.
 Provide oversight to the preparation and submission of reports to the Bursary.
 Develop annual budget and mechanisms for monitoring and managing cash inflows and outflows.
 Coordinate and manage communication between guests and staff and follow up to ensure customer concerns are resolved.
 Coordinate procurement of goods manage the associated transportation requirement.
 Conduct performance appraisal for the maintenance, administrative, housekeeping and kitchen staff.
 Perform duties as first approver for electronic timesheets submissions.
 Manage the relationships between the Lab and Customs Brokers and managing the clearing of lab overseas purchases.

Essential Qualifications and Experience:
 A Masters’ of Business Administration (MBA) or equvalent 
 Leadership and service delivery work experience
 Good financial management
 Ability to utilize emotional intelligence in the decision-making process
 Ability to organize and prioritize multiple tasks
 Ability to interact and communicate effectively with staff, students, visitors to the DBML and Government Agencies.
 Facilitate and encourage team spirit and motivate staff
 Good Knowledge and interest in Microsoft Suite computer operations and its related software.
Candidates who possess the following will be at a distinct advantage:
 Knowledge of the UWI’s organizational structure, systems and policies, procedures and key external liaisons
 Knowledge of the UWI Banner Finance and PeopleSoft systems
 Ability to work in a high-pressure environment and demonstrate commitment to consistently perform at high standards.
