Administrative Assistant I

Duties and Responsibilities:

The specific duties of the Administrative Assistant I are; but not limited to the following:
          

  • Provides administrative and secretarial support such as typing memoranda, letters, circulars, notices
  • Maintains an up-to-date-diary of appointments, meetings, for the Head of Department
  • Serves as first point of contact for students, staff, and visitors seeking information about the EDI initiatives
  • Assists in preparing and formatting official documents, presentations, and briefing materials
  • Manages internal and external communication including email and telephone inquiries
  • Assists with co-ordinating meetings, workshops, seminars, training and other related activities
  • Organizes and maintains a filing system of all documents (highly confidential and non-confidential) ensuring security and easy retrieval
  • Maintains and updates the Unit’s website and social media platforms with relevant EDI content
  • Assists with the procurement of office supplies and services
  • Maintaining and monitoring an inventory of office equipment

Qualifications and Experience:

  • Five (5) CXC/GCE (inclusive of English Language)
  • Professional Secretarial Certificate/Diploma will be an asset
  • At least three years relevant job experience

Skills and Competencies:

  • Excellent written and oral communication skills
  • Strong Minute taking skills
  • Good organizational and time management skills
  • Strong interpersonal and customer service skills
  • Proficiency in Microsoft Office Suite
  • Proficiency in Canva (design and document layout) would be an asset
