Frequently Asked Questions - Registration

The number of credits you will be allowed to take is dependent on your enrolment status.  Please note applicable regulations below:

 

FULL-TIME AND PART-TIME REGULATIONS

           

  • All students are initially registered as full-time or part-time students but may apply to the Faculty Office via the online student portal, SAS, to change their enrolment status.

 

  • Part-time in the Faculty is defined by a student’s work load per semester and does not mean evening studies.  While Level I courses are offered throughout the day and evening, the majority of the courses at Levels II and III are taught during the day onlyThus, students registered part-time must be prepared to attend classes at times between 8am and 5pm.

 

  • Students accepted with lower level matriculation into the Faculty as part-time students must complete a minimum of twenty-four (24) credits and maintain a minimum cumulative GPA of 2.7 to be eligible for transfer to full-time.

 

  • Once a part-time student changes his/her enrolment status to full-time, he/she is required to maintain the rate of progress mandated for the full-time programme.  

 

  • Full-time students are required to register for a minimum of twenty-four (24) and a maximum of thirty (30) credits in any one academic year.

 

  • A full-time student may be allowed three (3) additional credits for a total of thirty-three (33) if he/she has a degree GPA ≥ 3.3 after three (3) semesters and/or in their final year if they have not failed a course in the previous semester.

 

  • Part-time students are expected to register for a maximum of eighteen (18) credits in any one year.  

 

  • A part-time student may be allowed to register for twenty-one (21) credits if he/she has maintained a minimum GPA of 3.3. Finalizing part-time students may also be allowed to register for 21 credits.

 

Step-by-Step Registration Guide

 

1. Go to the SAS Web Site

 

2. Click on Enter Secure Area

 

3. Type your ID number in the space provided e.g. 620000001

 

4. Enter your Password: The default is your date of birth in the format YYYYMMDD.  

 

5. Click on Login.  The Main Menu will be displayed

 

Note 1: Students are required to select courses for both Semesters I and II at the start of the Academic year, Course Selection for each Semester will have to be done separately.

 

6. Click on the Student Services link to get to the Registration Menu

 

7. Click on the Add/Drop Classes link

 

8. Select the applicable academic term (choose from the drop down menu) and click Submit

 

Note 2: When selecting a course, you must use the CRN (Course Registration Number) instead of the course code to add the course to the Add/Drop Worksheet

 

9. In the Add Classes Worksheet area, enter the CRN for each course (NOT the course code).

 

10.  If you do not know the CRN for each course Click Class Search to look up course and CRN.

 

Note 3: Students are required to register for all applicable 'schedule types' associated with a course, i.e., lectures, tutorial, laboratories, etc.

 

11. Click on submit changes

 

12. Review System Output

  •   **Web Registered** - Course criteria satisfied and the course selection is complete. (Courses added to record)
  •   Registration Add Errors - Course criteria NOT satisfied. Courses will NOT be added to record

         Student can:

                   Choose another course OR Request an override from their department (where applicable)

 

 

Step-by-Step Registration Guide

  • Click Add to Worksheet to place the CRN in the Add/Drop page OR Click the Register link to select the course(s)

Step by Step Guide to DROPPING Courses

 

1. Go to the Registration Menu Click on the Student Services link Click on Registration

 

2. Click on the Add/Drop Classes link.

 

3. Select the appropriate academic term (choose from the drop down menu) and click Submit.

 

4. Select "++Web Drop++" in the Action column next to the course to be dropped.

 

5. Click on Submit Changes.

Steps by Step Guide to Requesting an Override

1. After receiving a Registration Add Error, click on the Request Override link on the Add/Drop page.

2. Select course from the drop down list. Only courses the student previously tried to select that day will appear in list.

3. Type message to Faculty (optional)

4. Submit Request

5. Check for Override Decision

  • Select the Request for Course Error Overrides link from the Registration Menu
  • Select Semester/Term and Submit
  • View decisions at the bottom of the page in the Permit/Override Column
  • Pending override requests are listed at the top of the page
  • Once the approval has been granted, the course will be added automatically to the record.

6. Add Approved Courses to Record

Note: A course CANNOT be added to a record if the course criteria are not satisfied. Faculty/departmental override must be granted before the course can be added to the record.

When a course criteria is not satisfied, a registration add error will appear when the student attempts to add the course to their record.  Students can request an override for some types of errors.

Students may receive this error for two (2) reasons:  These are:

1.  Not registering in the previous semester; or

2.  Being required to withdraw (RTW).

If you did not register in the previous semester, then you must apply via the Automated Student Request System (ASRS) for late leave of absence.

If you have been required to withdraw, the pertinent regulations are outlined below:

REQUIREMENT TO WITHDRAW REGULATIONS

  • Except where otherwise prescribed in the Faculty’s regulations, a student whose GPA for a given semester is less than 2.0 shall be deemed to be performing unsatisfactorily, and shall be placed on warning.  A student on warning whose GPA for the succeeding semester is less than 2.0 will be required to withdraw.
  •  Student required to withdraw from the University for failing to complete their degree programme within the stipulated period or for poor performance as provided for in the Faculty regulations may be re-admitted after at least one year has elapsed since withdrawal. 
  • Applications for re-admission or waiver of the requirement to withdraw will be considered on its own merit and will only succeed if the Faculty is satisfied that the circumstances attending the reasons for the withdrawal have altered substantially.  Applications for waiver must be made via the Automated Student Request System (ASRS).

A full time student  is usually expected to register for a maximum of thirty (30) credits in any one academic year while a part-time student is eligible for a maximum load of 6 courses or eighteen (18) credits for an academic year.

However, the following students may be eligible for an additonal course or three (3) additional credits:

  • Finalising students, i.e., students with fewer than 13 courses to complete their programme 
  • Students pursuing Social Work (Special)
  • Part-time students who have a degree GPA of at least 3.3 after 3 semesters (i.e., after obtaining 27 credits)*
  • Full-time students who have a degree GPA of at least 3.3 after 3 semesters (i.e., after obtaining 45 credits)*
  • Part-time students who have satisfied the requirements for full-time matriculation*
  • Full-time students who pursued 4 courses instead of 5 in the preceding semester
  • Part-time students who pursued 2 courses instead of 3 in the preceding semester

*Students must not have failed a course in the semester preceding the request for an extra course.

Core courses are courses that students must complete in order to be awarded a degree.

Registration is usually complete when:

  1. Courses are selected/adjusted with none requiring overrides
  2. Financial clearance is obtained
  3. Students is in possession of a valid UWI identification card

Note:  Financial clearance is normally granted within two (2) working days after the payment of fees.

A Campus Restriction error means that you have attempted to register for a course that is being taught at another campus.  Please ensure that you are selecting a course that is being taught at the campus to which you are attached.

What are the criteria for taking an extra course?

A full time student is usually expected to register for a maximum of thirty (30) credits in any one academic year while a part-time student is eligible for a maximum load of 6 courses or eighteen (18) credits for an academic year.
 
However, the following students may be eligible for an additional course or three (3) additional credits:

  • Finalising students, i.e., students with fewer than 13 courses to complete their programme

How do I register for an extra course?

To appy for an extra course, you must first attempt to add the course to your registration.  A message will pop up indicating that you have surpassed the maximum credit allowable.  Request a "Maximum Credit Override".  The Office of the Dean will consider the override request within 5 working days.

 

You may be permitted to do so at the discretion of the lecturer. Bear in mind, however, that a pre-requisite course provides many of the fundamental concepts required for the more advanced course. 

Registration after the normal registration period may be permitted in exceptional circumstances.

Application to add or drop a course may be made through the Faculty Office via the Automated Student Request System (ASRS) via www.mona.uwi.edu/socsci/.   Late registration attracts a financial penalty.

A timetable is automatically generated after you have selected your courses online.  Alternatively, you may view a copy of the timetable from the Faculty Office notice board.

Full time students normally register for thirty (30) credits, that is, 10 courses in any one academic year while part-time students may not register for more than eighteen (18) credits or 6 courses per year.  In special circumstances, students may be allowed to exceed the limit.

This depends on the programme in which you have been offered a place.  Your letter of acceptance should indicate this. The student undergraduate handbook or your departmental handbook lists the course requirements for each programme of study.  Just follow the list. 

During Orientation Week in August, the Registration Centre at the Assembly Hall is staffed with personnel specifically trained in providing assistance with the online course selection process.  Alternatively, students should follow the registration steps outlined in the video on the registration page online.

New students may register for a maximum of 6 credits or 2 courses in the Summer School Programme.  Check your department for details. 

Yes. The normal registration period usually runs through the first week of September for Semester 1 and the last week of January for Semester 2.  A late registration fine is applied to students who fail to complete the registration process within this period.

Course selection is done via the internet at the Student Administrative Systems (SAS) website which can be accessed at http://www.mona.uwi.edu.  Students may complete this process from any computer, on or off campus. 

Registration consists of the following three components:

  • Online Selection of & Approval of Courses
  • Financial Clearance
